Join our Team as a Proposal Specialist and Drive Success in Sales and Project Management!
Due to continuous operational growth, we are currently seeking for a meticulous and dedicated Proposal Specialist to join our tethered inspection team here in Bergen.
As a Proposal Specialist, you will work support the Sales Manager by checking the quotation request for correctness, creating the proposals, checking them for legal compliance and feasibility & take over the Sales Manager role for specific assigned projects. In addition, you will also act as an administrative support both in the acquisition and execution phase of the project. There will be data entry and data quality activities also to support the process.
Key Tasks:
· Support Sales Manager in acquiring new business.
· Act as Sales Manager for specific projects or project components/elements.
· Lead the proposal realization process as the central point of contact.
· Understand customer needs and requirements thoroughly.
· Communicate with customers as needed, in coordination with the Sales Manager.
· Prepare proposals and contracts based on input from clients and/or the Sales Manager.
· Share information/requirement changes within the acquisition team/function/roles.
· Coordinate with business, operation, and support functions/roles to define and optimize product and service costs.
· Align with and achieve goals, initiatives, and core values set by ROSEN.
· Ensure the proposal submission process is formatted, complete, consistent, and compliant.
· Ensure contracts and purchase orders (Pos) are accurate and complete, in collaboration with the Sales Manager and Legal Specialists.
· Assess project risks with the Sales Manager and Legal Specialists.
· Administration of proposal-related activities.
· Create proposals in agreement with the Sales Manager.
· Maintain proposal and contract specific information in ROSEN Business Software (BSW):
o Register projects and inquiries in BSW.
o Maintain (register and update) proposals in BSW.
o Register and update contracts/POs in BSW.
· Ensure data quality through regular checks and updates.
· Provide data entry support for client third-party acquisition software (e.g., Ariba).
· Communicate effectively with other teams and individuals.
· Register and update contracts/POs in SAP and support the invoicing process.
· Create and/or update basic object data in Business Software.
· Register budgets in BSW.
· Maintain an overview of referenced projects (relations, services, pricing, etc.).
· Manage pre-qualifications.
· Provide supporting documents during audits.
· Assist in preparing materials for proposals and contracts.
· Administer sales and project-related activities.
Mandatory Qualifications:
· Experience: Proven experience in a similar role, preferably in sales or administrative capacity
· Education: Bachelor’s degree in Business Administration, Sales, Marketing, or a related field is preferred
· Relevant experience, 3-5 years
· Strong attention to detail and organizational skills.
· Excellent written and verbal communication skills, both Norwegian and English
· Ability to manage multiple tasks and meet deadlines.
· Familiarity with legal compliance and feasibility checks.
· Good skills in preparing written documents

· Ability to work flexible shifts and to adapt to changing work schedules
· Ability to carry responsibility and withstand pressure
· Work independently as well as in a team in a fast-paced and customer service driven environment
· Minimal traveling is required
· Demonstrate positive QHSE attitude
· Good knowledge of computers and MS Office Suite, Outlook and other Internet applications
· Good cooperation and communication skills
