Executive Assistant
About the Role
The Executive Assistant will provide high-level administrative support to the CEO and the executive team, managing schedules, coordinating meetings, handling correspondence, and ensuring efficient workflow. This role requires discretion, strong communication skills, and the ability to anticipate needs in a fast-paced environment. The role will also support the Managing Director for the Norwegian offices with administrative tasks.
The position will be based in Bergen, but occasional travel a few times per year is expected. This is a part-time, 60% position. Working hours are flexible, but you must be available when business needs arise.
Main Responsibilities
- Manage executive calendars, appointments, and travel arrangements efficiently
- Prepare reports, presentations, and correspondence on behalf of the executive
- Coordinate meetings, including agenda preparation, and noting down action points, and follow-ups
- Serve as a liaison between the executive and internal/external stakeholders
- Handle confidential information with professionalism and discretion
- Assist with project management and operational tasks as needed
- Oversee document control and expense reporting
- Plan and coordinate events
- Monitor, prioritize, and manage emails, calls, and other communications
- Supervise office management tasks, including supplies and vendor coordination
Core Requirements
- Experience as an Executive Assistant or from a similar role
- Education in organizational management, administration or other relevant fields is an advantage
- Strong proficiency in Microsoft Office Suit: Word, Excel, PowerPoint, Outlook, Teams and SharePoint. Being tech savvy is an advantage
- Excellent organizational and multitasking skills
- High level of professionalism and discretion
- Ability to work independently and prioritize tasks effectively
