Advisor, Administration and Leadership Support

We are looking for a dynamic, organised colleague to join us for the permanent position of Advisor Administration and Leadership Support in the Strategy, Learning and Leadership Support Team in the International Programs and Preparedness department in Oslo.
Arbeidsoppgaver
Main responsibilities include:
Leadership support responsibilities
- Provide support to IPP Director in managing his calendar, preparation of agenda of Management Team meetings, and preparation/compilation of documents (talking points, presentation, etc).
- Provide support to the Management Team meetings and the Disaster Management Steering Group meetings, including sending invitations, compilation, and timely submission of documents, and preparation of minutes.
Administrative responsibilities
- Manage the travels of IPP Director and support with other tasks at the request of IPP Director.
- As Focal Point for the International Leadership Forum (ILF) and department’s retreats and gatherings, lead on the logistics, ensure timely information-sharing with participants, and manage the budget of the event.
- For ILF and visits to National Office by field-based staff and Movement partners, extend support to visa applications.
- Ensure regular and systematic update of IPP information pertaining to administration (organigrams, mandates, etc) and that the documents are rightly stored on IPP’s PIMS folders.
- Identify common challenges (email lists, IT, access to portals, etc), and follow up with relevant technical entities to find solutions.
- Represent IPP in the Admin Group at National Office.
Internal communication responsibilities
- As Focal Point for department meetings and ‘45 with the world’, manage the calendar of these meetings and ensure timely invitations.
- As Focal Point for IPP Information on Korsveien, ensure IPP information is regularly and systematically updated including organigrams, mandates, description of work, etc. Secure necessary input and ownership from IPP units.
- Attend to requests channeled through Norwegian Red Cross generic email.
When workload allows
- Contribute to SLL’s work on strategy, risk management, learning, and Movement ooperation.
- Perform other tasks as agreed with the line manager.
Noting the centrality of this role, the position requires office presence. Flexibility is possible as agreed with the line manager.
Kvalifikasjoner
- Minimum 5 years relevant working experience in administration, leadership support, internal communication, and information management.
- Experience from leadership support role and demonstrated ability to optimise support functions.
- IT skills relevant to documentation, internal communication, and information management.
- Experience in humanitarian operations at international and/or national office level is an advantage.
- HR experience is an asset.
- Very good verbal and written Norwegian and English language skills.
- Additional language skills (Arabic, French, Spanish, or Russian) are an asset.
